Is the Server and Cloud Enterprise the same software?

Yes.  ImageManiacs web software can be installed on web servers on-premise or in the cloud.  Our Cloud Enterprise and Small Team offerings are ImageManiacs' web server software being hosted on Amazon’s AWS.  It may be hosted on your in-house servers or any cloud-based servers meeting the following basic requirements.

ImageManiacs Server Requirements:

    • Web Server: IIS or Linux web servers
    • Database: MySql
    • File Systems: Windows, Linux, or Mac.

What's involved in an on-prem (Server) installation?

Setup usually happens during an online meeting which takes 1.5 to 2 hours. One of our tech leads meet online with someone in your IT or operations departments using something like TeamViewer. This help is included with the purchase cost. We simply setup IIS and MySQL and config our system in IIS. After the 2 hour online setup meeting the system is ready to use.

Assuming there are a large number of existing assets to add to the system, the next step would be to import existing assets. That can take a while but the system is available while import completes. Typical import time is 1 - 3 seconds per image, or approx 44,000 per day if 2 secs per (the avg we see). This operates in the background. More important folders and their sub-folders can be imported first. While this is happening we often provide administrator and user training and get folks used to using the system (4 hours of training is included). With setup and training cost included there is very rarely any setup, onboarding, training or other costs beyond the purchase price.

 

Can the Server version be in-house only, without web access?

Absolutely.  This is accomplished by simply having the port number which that particular web server instance uses not be available to the internet. Several of our clients do this to have a clean, modern and easy to use file management system completely internal to their organization.  Setup generally takes only 30 to 60 minutes and easily utilizes existing file server and image folders.

Is it possible to have all our files remain strictly with a region, such as the EU or Asia?

Yes, for the Enterprise Plan (and the Server version when hosting yourself).   For the Enterprise plan which we host, all components can be fully hosted within any Amazon AWS region: the web server, files, file backup and database.

Can ImageManiacs be hosted on other cloud platforms such as Microsoft Azure and Google Cloud?

Yes. While we default to hosting on AWS, ImageManiacs system architecture is simple in that it requires only an IIS web server, MySQL, and a file system (anything starting with \\), all of which are available on most cloud platforms. Upon request we will also host on any of the Microsoft Azure regions (Enterprise clients only). Hosting on any Azure geographical region carries a 10% surcharge.

Where are servers and data located?

If a specific geographical region is not requested, our servers and data default to being located (hosted) in the US. At an Enterprise client's request we will host in South America, Europe, Asia Pacific, South Africa, the Middle East and Canada. Due to additional infrastructure and support costs there is a 10% surcharge for non-US regions.

 

What is your multi-tenant version?

It allows what appears to be completely separated ImageManiacs instances to run on the same server or servers as a normal, single-tenant, ImageManiacs.

An example may clarify. A company stores digital assets for each of their clients and when those clients login they need to see their own branding and only their assets, making it appear to be their very own ImageManiacs. Another example: A solutions provider with their own data center has one multi-tenant instance of ImageManiacs for a number of their clients. Each client has 100's of thousands of digital assets stored. Those clients have no way of knowing it isn't completely their very own ImageManiacs. All users, system preferences, custom fields, data layouts, workflows, etc., are all set seperately for each client or tenant. The service provider has only one IIS web server and database to maintain for all those clients. A fuller more detailed description of multi-tenancy may be found in this Digital Guardian article.

Our on-prem software and Enterprise cloud service both offer this multi-tenant version. It is 2.5 times the cost of the regular on-prem or Enterprise options.

How safe is your cloud storage if we upload all folders and then delete them on our hard drives?

It is very safe. Beyond our primary cloud storage we backup all files twice, once in the same region as primary storage and another in a completely different geographical region.



Some colleagues are concerned that once images are uploaded we're stuck with a given system. Is that true for ImageManiacs?

Not at all! ImageManiacs is an open system. You may download your entire collection in the exact folder structure as you or your team created within the system. Metadata (IPTC/XMP) is stored in most photo and video file formats so it comes along with your files during a bulk download. Data for all images may also be downloaded in CSV format. For our enterprise clients, we offer the ability to directly access your folders on our file server(s). This is possible because folders created within ImageManiacs are directly reflected on our file servers.

If we decide to stop using your cloud service, can we easily download the thousands or millions of files we’ve uploaded?

Yes! As per the answer directly above, all files (and data) may by downloaded at anytime.

What is ImageManiacs' Storage and Performance Limit?

Drive Space Limit

ImageManiacs doesn’t store image files in it’s database, they’re stored in drive folders. For the Server version that is installed in-house at your location, the size limit is dependent on the amount of disk space available on your file servers.  For our cloud plans, the storage limit is based on the amount provided with the plan plus any add-on space signed up for.  There is no practical limit on the amount of possible add-on storage, it could be 10's or 100's to terabytes, even petabytes.

Database Record Count Limit

In its database there are records for each image. Hence it’s the database storage limit which comes into play, and since we’re using MySQL as the database, the limit is very large. A number of factors determine the maximum number, but it should typically  be in the millions.  Those factors are primarily disk space and speed, processor and memory on the database server.

Performance Limit

Internet speed is the biggest performance factor for ImageManiacs cloud plans, or for the Server version it’s either internal network (intranet) speed when users access the system internally or internet speed again for those accessing your ImageManiacs Server over the internet.   The other major performance factor impacting  customers with very large collections is the number of records in the database. That record count threshold is dependent on the processor, memory and disk speed of the computer where the database resides. For example, on a 2019 Xeon-processor server with 32 GB RAM and SSD drives, performance degrades as you head towards 2 or 3 million images, requiring faster hardware.  Typically clients have 100,000 or fewer images so database performance is not an issue, leaving internet or intranet connection speed as the largest performance factor.
